GENERAL

Where is the congress being held?
Congress is being held in Tartu, Estonia. The venue of the congress is the Estonian University of Life Sciences (in Estonian "EMÜ"). More information about the venue: https://esa2026.ee/venue/.


What are the dates for the conference?
Congress is being held on 24-28 August 2026.

How do I obtain a Letter of Invitation to the conference?
To request a letter of invitation you have to fill out the registration form section “Visa invitation letter”. Please note that we will issue a visa invitation letter only to those participants who have paid the registration fee in full.

All Letters of Invitation will be issued at the discretion of the Congress organisers.

All expenses incurred in relation to the delegate’s attendance at the Congress are the sole responsibility of the delegate, and the Congress organisers hold no responsibility for the outcome of an individual’s visa application.

In case of visa refusal, we`ll refund the registration fee in full amount (minus the administration fee of 50€) based on the written proof of visa refusal one month before the event.

How do I register for the 19th Congress of the European Society of Agronomy?

Is online participation and presenting an option?
► This is a conference only happening on-site, no online presenting or attending options are available.


What does the registration fee include and exclude?
INCLUDES: access to all scientific sessions, exhibitions, and poster areas; coffee breaks and lunches during the event; free of charge public transportation in Tartu during the congress; the welcome reception; delegate kit; certificate of attendance; all taxes.

Do I have to present at the conference to attend?
► 
Absolutely not! We welcome attendance from around the world, regardless of your level of active participation in conference sessions.

Are there limits on how many sessions I can participate in?
► There will not be a limit on how many sessions you can participate in. Some of them may overlap so you will have to decide which ones you will participate in and which ones not.

I have paid my conference fee, but have not received a confirmation stating that my payment has been received. Is everything in order with my payment?
► When the payment has been received, the system will not send out an automated confirmation letter.
All payments are being checked regularly, and the delegate services will personally contact the delegates whose payments have not arrived on time.
If you have registered, received an automatic confirmation e-mail with your registration data and paid the invoice, your registration will be confirmed automatically.


I haven't received an invoice/a confirmation e-mail about my registration.

Sometimes the system malfunctions and will not send the invoice/confirmation e-mail. If you haven't received yours within one hour of registering, please get in touch with our Delegate Services: esa2026@publicon.ee.

I registered before the Early Bird deadline, but I can't pay before this deadline. Am I still going to get Early Bird rate, or do I have to pay the higher fee?
► When registering at the Early Bird rate, the payment by bank transfer must be completed by the end of the Early Bird registration fee deadline. Otherwise, the higher fee automatically applies for the registration, and you will receive a new invoice from Delegate Services. The late fee must be paid in full before the conference, or the participant will be required to pay the higher on-site fee in cash or by credit card at the registration desk.


I have registered for the conference, but unfortunately I am not able to attend. Is it possible to get a refund for my participation fee?
► Please find the cancellation terms here: https://esa2026.ee/attend/terms-and-conditions/. Name changes are free of charge. If you have found yourself a replacement, please inform us by writing to esa2026@publicon.ee.


May I bring a guest?
► Accompanying persons are welcome to the event and in the registration form in accompanying person section together with the participant's registration, there is a separate section for them. Guests can ONLY take part in the social events like welcome reception, congress dinner, field excursions/city tour. Please note that charges apply.

 

 

PAYMENTS / INVOICES

We don't send confirmation letters about successful payments. We will notify you in case we have not received your payment after the payment deadline. We don't need you to send us payment receipts/confirmation about your payment. We check payments daily and see the paid sums in our online banking system.

I need to make some changes to my invoice.
► Please contact our delegate services at esa2026@publicon.ee, we will gladly make the necessary changes and send you an updated invoice.

Do I have to pay VAT?
► According to the Estonian VAT law (§ 10 lg 1 and § 10 lg 2 p 21), entrance services provided in Estonia will be charged with 24% VAT.

► When the payment has been received, our system does not send out an automated confirmation letter.

► Sometimes, the system malfunctions and will not send the invoice/confirmation e-mail. Sometimes, there might have been a typo in the e-mail address.

Can I pay several invoices with one bank transfer?
► Yes, you can pay the registration invoices of you and your colleagues in a single transfer - it is important to write all invoice numbers in the payment description.

Can we share bank transfer fees?
► The participant needs to pay all bank transfer fees, including the correspondent bank fees.
If you click that bank fees should be shared, a smaller amount will reach the Delegate Services, and you will need to cover the missing amount later.

My organisation is taking longer than expected to pay my invoice and I'm worried that my registration will be cancelled.
► We will not cancel any registrations before contacting the delegates beforehand. If you are worried you won't be able to make the payment on time, please contact our delegate services and they will extend the deadline for you.

 

 

ACCOMMODATION

Where can I book accommodation for the congress?
► The Delegate Services have pre-booked rooms at various hotels at group booking rates specifically for the congress. Please find the booking form here: https://esahotels.publicon.ee/.

Will I receive a hotel booking confirmation?
► The confirmation letter sent to your e-mail after the booking serves as a voucher for the hotel. The Delegate Services will forward the guest names to all hotels before the event, therefore you will not need to bring the confirmation letter with you. Be ready to show your ID / any kind of travel document at the hotel's reception desk.

What is the hotel cancellation policy?
► The cancellation policy is available here: https://esahotels.publicon.ee/terms-and-conditions/. Please note that each hotel’s free cancellation date (minus 50€ cancellation fee) is the same as the “Can be booked until” date.

How are the cancellations processed for the conference?
► A written notification must be e-mailed to the Delegate Services via E-MAIL. Cancellations will have a 50€ processing fee deducted from the refund if the request is sent within the period mentioned under TERMS & CONDITIONS. Late cancellations will not be refunded.
Name changes are free of charge, but these need to be reported to the delegate services via e-mail at least 48 hours before the beginning of the booking period.
Cancellations will be processed after the conference.

I need a longer period in Tallinn than the booking form allows.
► If you need a longer period in the preferred hotel than the form allows you to book, make the booking via the form and write to Delegate Services that you would like to stay longer. Send the whole duration you would like to stay and we will check with the hotel for availability and will send you an invoice for the additional night(s).

Is breakfast included?
► This information is listed under the hotels’ descriptions. Usually, hotels have breakfast included, but some might not have (like hostels or self-service hotels).

Can I pay for my booking with an invoice?
► We only offer the possibility to pay for your accommodation via credit card. After successful payment, you will receive an invoice as proof of your payment. Credit card payments are processed via EveryPay.

It turned out that I cannot participate in the conference. Can somebody else use my booking?
► Yes, name changes can be made up to 2 days before the first booked night. If you have found yourself a replacement, please inform us by writing to esa2026@publicon.ee.

When I book my hotel room through this website, what are the check-in and check-out times?
► This information can be found in the hotels’ descriptions. Every hotel has different check-in and check-out times.

I would prefer a hostel or homestay, what do you suggest?
► We suggest using www.booking.com or www.airbnb.com. There are plenty of options for hostel or homestay opportunities available.

How can I find the best possible way to get from the venue to city centre hotels using public transport?
► We suggest using Google Maps and the public transportation feature to find the most suitable times and closest bus stops for your hotel.
